North End Center and Gilbert Place Meeting Spaces
North End Center and Gilbert Place offers meeting spaces for administrative meetings, trainings, and recreational functions that serve the university community. Meeting spaces are available for reservation through the Division of Human Resources Facilities team.
Training and Conference Rooms
To reserve a meeting space, complete the Training and Conference Room Request Form at least five business days prior to the event as reservations received less than three business days may not be accepted. Allow up to two days for a response and/or confirmation of your request. Training and conference rooms are available Monday-Friday, 8 a.m. - 5 p.m.
Meeting Space Technolgy Information:
Human Resources does not have dedicated IT support for the North End Center and Gilbert Place meeting spaces. If you are unfamiliar with the room technology, please consider inviting a member of your IT team to assist.
- All spaces are Bring Your Own Device (BYOD) and have HDMI and USB connection cables available.
- All spaces have Zoom capabilities and are equipped with ceiling microphones/speakers, and wall mounted cameras.

Meeting Space Guidelines
Review the following information before reserving space at North End Center or Gilbert Place:
- Meeting spaces are available 30 minutes prior and after the scheduled meeting for set-up/clean up. If, upon arrival, the door is locked, please visit Suite 2300 in the North End Center for help.
- Reservations that need to be canceled should be done as soon as possible.
- If the room configuration is changed, it must be returned to the original configuration.
- The reserving department is responsible for cleaning the meeting space after the event. Cleaning includes furniture, trash, whiteboards, and/or surfaces. A fee of $50 will be charged if the room is not cleaned and/or returned to original configuration.
- Damage to room/equipment should be reported to the HR Facilities team immediately. Damage will be assessed and an invoice for the repair cost may be sent to the reserving department/organization.
- Do not hang or stick anything on the walls or equipment (i.e. TVs) in the training or conference rooms. The exception to this would be using a Post-it Note Flip Chart on whiteboards found in most of the rooms.
- Nails, tacks, staples, or other sharp objects may not be driven into walls, floors, doors, ceilings, or tables.
- Tape of any kind may not be used. This includes scotch tape, two-sided (carpet) tape, painter's tape, duct tape, and/or adhesive picture hangers.
- No glitter or confetti may be used.
- Decorations must be removed at the conclusion of the meeting. A cleaning fee of $50 will be charged to the reserving department/organization if additional cleaning and/or repairs are needed as the result of non-compliance with the decorating guidelines.
- All meeting spaces are permitted to have prepackaged food and drinks except for posted credenzas that house room equipment. Failure to comply could result in future reservations not being accepted.
- For catered events, please consider reserving an additional room for catering set up.
- Sterno-heated serving trays, and other heating devices (i.e. crockpots) should not be left unattended.
- Any damage to surfaces will be assessed and invoiced to the reserving department/organization for repairs and/or replacement.
Parking Information
Parking is available in North End Center Parking Garage. Employees with a valid Faculty/Staff permit may enter and exit the garage free of charge with their hangtag or Hokie Passport.
Individuals without a parking permit can pay using a credit card upon exiting the parking garage. For other daily parking pass options, visit Transportation Services/Parking Services site.
