HR Service Center

The Human Resources Service Center team is available Monday - Friday, 8 a.m. - 5 p.m., with the exception of holidays and other times the university is closed. When you contact the service center, a ticket will be opened and assigned. If the service center is not able to resolve your ticket, it will be escalated to one of the Division of Human Resources functional teams.

Frequently Asked Questions

Following are frequently asked questions received by the HR Service Center from new employees as well as questions about benefits, retirement, parking, the PageUp Learning Management System, and other topics

New employee onboarding, New Hire Center, and benefits orientation

If you do not have a Social Security Number, enter nine zeros in the SSN field. You must also check the box that you have applied for an SSN. Your password is your birthdate in the format of MM/DD/YYYY. Once you login, the system will prompt you to change your password. 

Email hrservicecenter@vt.edu and use New Hire Center in the subject line of the email. Our systems team will reply to you with next steps. 

To gain access to the systems and tools that are needed for your position, you will be required to set up a Virginia Tech email address. You will need an employee ID number (90-number) to start the process. This information will be included in your new hire packet and will also be available as part of your onboarding portal tasks. Once you have your employee ID number, go to the IT onboarding site for next steps.

Contact your hiring supervisor/manager to get you employee ID number (90-number). 

Send an email to hrservicecenter@vt.edu and use New Hire Center as the subject line. Our systems team will work with you to get the issue fixed.

Visit the New Employee Benefits Orientation site to sign up for a session. We recommend attending orientation as soon as possible after your start date because there is limited time to enroll for Virginia Tech benefits.

Yes. Send an email to hrservicecenter@vt.edu and the Benefits team will reschedule. You will receive an email  2-3 days out from the rescheduled date with the pertinent information. If you have chosen to attend orientation by Zoom, the link will be included in the follow up email. 

Benefits

New employees have 29 days from their hire date to sign up. When you sign up for health insurance through Virginia Tech, coverage begins the first of the month after your hire date (ex. If your hire date was Aug. 10, your coverage would begin Sept. 1). Information on available health care plans will be reviewed during New Employee Orientation and is also available on the Benefits site.

Use one of the following methods to sign up for health insurance with the university:

  1. Sign up through the state’s benefits site, Cardinal. You will need your Cardinal ID to use the system; visit Virginia Tech's dedicated Cardinal Enrollment page for information on how to get your Cardinal ID. Once logged in, follow the steps to create your account and pick your plan selections.
  2. Fill out State Health Enrollment Form and submit it to the HR Service Center through the HR Dropbox. If you choose to not enroll, please submit the form with Section 4 completed including checking the box next to “I do not wish to participate in health care coverage.”  

A Flexible Spending Account (FSA) allows employees to set aside funds on a pre-tax basis to use for eligible out-of-pocket health care expenses. Employees may enroll for a medical FSA or a dependent care FSA. New employees must enroll in an FSA when first eligible and must re-enroll each year during the state’s benefits open enrollment, which is typically held the first two weeks of MayFSA plans run July 1 through June 30. Enrollment in a health insurance plan through Virginia Tech is not a prerequisite to enroll in a Health FSA. To learn more, visit the FSA page on our Benefits site.

Health insurance plan participants receive a discount on their health insurance premiums by participating in Premium Rewards, which is a health assessment that must be completed annually to receive the discount. New employees should complete Premium Rewards when they enroll for health insurance to begin receiving the discount immediate. Employees will need to take the assessment each year during the state’s benefits open enrollment, typically held the first two weeks of May, to continue the discount. Covered spouses are also eligible for a discount by completing the annual health assessment. Once participants complete their health assessment, the reward will be effective the first of the month approximately six to eight weeks after the assessment is submitted. Salaried employees are provided group life insurance by Virginia Tech at no cost, which is administered by the Virginia Retirement System with Securian Financial as the insurance carrier. Visit the employer-provided life insurance page for more information.

Employees may purchase additional life insurance through Virginia Tech. Visit the optional life insurance page to learn more. Note: Employees are not required to provide evidence of insurability if they apply for optional life insurance within 31 days of their start date. Evidence of insurability is required if an employee applies after their 31st day of employment.

Retirement

Faculty, which includes Administrative and Professional (A/P) and Teaching and Research (T&R), may participate in the Virginia Retirement System (VRS) hybrid plan or in an Optional Retirement Plan (ORP).

For those who choose the ORP, participants choose either Fidelity or TIAA. Under this plan, Virginia Tech contributes 8.5 percent and the employee contributes 5 percent. Faculty may save more for retirement by participating in either a 403b or a 457b.

For those who choose the VRS plan, the employee contributes a mandatory 5 percent and may contribute an additional 4 percent to your defined contribution. Employees must stay with Virginia Tech for 5 years with no breaks in service to be fully vested.

Regular and restricted, full-time and part-time salaried classified, and university staff are covered by the Virginia Retirement System. Virginia Tech police officers (who are staff) are covered by the Virginia Law Officers Retirement Association (VaLORS). The 403(b) tax deferred savings plan provides an excellent opportunity to invest pre or post-taxed dollars and can be an integral part of longer term financial and/or retirement planning. All employees, including adjunct faculty and wage, are eligible to participate in the 403(b) tax deferred savings plan

The 457(b) deferred compensation plan provides an excellent opportunity to invest pre or post-taxed dollars and can be an integral part of longer term financial and/or retirement planning. The Commonwealth of Virginia 457(b) Plan is administered by VOYA. All employees, including adjunct faculty and wage, are eligible to participate in the 457(b) deferred compensation plan.

Yes, the university offers a cash match for benefitted faculty and staff. The university matches 50 percent of what the employee contributes to a 403(b) or 457(b) plan with a maximum cash match of $20 per pay period.

Yes, Virginia Tech - along with our partners at Virginia Retirement System, Fidelity, and TIAA - offers group and one-on-one retirement planning sessions for employees. For more information or to schedule an appointment, visit the retirement planning page.

Parking

Visit the Parking Services website for information on the types of parking passes available and how to purchase them. There are several faculty/staff options available. Instructions for Greater Washington, D.C. area employees on how to get a parking pass are available on this page too under Parking Classifications > Faculty/Staff. 

Employees may choose to pay all of the cost for the permit upfront or can pay for the permit by payroll deduction. Visit the Parking Services website for information.

PageUp Learning Management System

Go to https://virginiatech.pageuppeople.com/Dock.aspx. If you are not on your Virginia Tech computer, you will need to login with your Virginia Tech ID and password, then use Duo to complete two-factor authentication.

Try the following to troubleshoot logging into the PageUp Learning Management System:

  1. If you are not in a current employee appointment or you are logging in before your start date, you will not have access to the system yet.
  2. If you are in an active appointment or are trying to access training after your start date, make sure you are signed into your internet browser (tip: Google Chrome usually works best) and are connected to the VPN (app name: Ivanti). Clearing your internet cache may help, too.
  3. If you’re signed in, connected, and still cannot access the Learning Management Ssystem, send an email to hrservicecenter@vt.edu and our Talent Development team will follow up with you to resolve the issue. 

Once logged in to PageUp, go to "My development" at the top of the page and select "Learning library." From there, you can use keywords to search the entire library and select/enroll for training.

Log into the PageUp Learning Management System and follow these steps:

  1. Select "About me" on the navigation bar, then select "Development plan" from the drop-down. On the first tab, it will show your "In progress/Upcoming" learning activities.  
  2. Select the title of the learning activity you need to change and scroll past the description. 
  3. Select the word “Remove.” 
  4. Go to "My development" and select "Learning library" from the dropdown, use keywords to find the course, select the course, then choose a new timeslot. 

Other

Employees should use the secure HR dropbox to submit documents to Human Resources. In order to use the dropbox, employees must be logged in on their Virginia Tech computer and the VPN (app name: Ivanti).

To obtain an employment verification for immigration status, mortgage loans, renting, loan forgiveness, etc. send the request to hrservicecenter@vt.edu or contact The Work Number at 540-231-9331, option 2. The employee must provide a signed consent form before the verification can be completed.

Log into Hokie Spa and select the Hokie Team tab. Select the "Leave Entry and Reporting Banner 9" at the bottom of the page to record leave for the current or next pay period.  

Following is some of the information and actions employees can complete in Hokie Spa: 

  • Access and complete leave reports
  • Find Cardinal and VT ID numbers
  • Set up or change direct deposit informationUpdate address and contact information
  • Update W-4 tax forms
  • View and print W-2s
  •  View current and prior pay statements

**Note: When updating an address, the employee must enter an end date to make the change. The change must be entered as the day prior to when you want the new date to become effective in Virginia Tech systems. Dates cannot overlap. 

Once logged in to PageUp, go to "My development" at the top of the page and select "Learning library." From there, you can use keywords to search the entire library and select/enroll for training.
