Bonus Payments

Recruitment and Retention Incentive Options

Follow the procedure below for payment of a one-time incentive bonus for recruitment or retention of all faculty and university staff positions. For more information, refer to University Policy 4005: Exceptional Recruitment and Retention Options Policy.

Recruitment bonus:

Recruitment bonuses will be processed as a lump sum, taxable, one-time payment. When a recruitment bonus is offered, the conditions of the bonus are added to the PageUp Offer Card using the Recruitment Bonus paragraphs in the system. The information from the Offer Card will map over to the Terms of Faculty Offer or Staff Offer letter. A length of service requirement of one year applies for recruitment bonuses; the employee has a prorated repayment obligation if length of service requirement is not met. Moving and relocation allowances are now allocated as a recruitment bonus. 

Supervisors should speak with their college or department HR representative for more information on recruitment bonuses.

Retention bonus:

Retention bonuses will be processed as a lump sum, taxable, one-time payment. A retention bonus may be the result of a pre-emptive offer that is approved by senior management or a competitive offer that has been received from an outside institution or organization. In certain situations, supporting documentation may be required for any retention bonus that is a result of an external competitive offer. A length of service requirement of one year applies for retention bonuses; the employee has a prorated repayment obligation if length of service requirement is not met.

Notes

  • If the bonus payment is being granted because a staff member has acquired new knowledge, skills, and abilities; completed certifications; or had a change in duties, follow the In-Band Bonus transaction instructions. 
  • These procedures do not apply for recognition awards granted as part of an established or approved award program. Visit the Employee Recognition Award transaction page for more information on award payments.

  • Complete P3A form and P89 form (Memorandum of Agreement and Promissory Note)
